Mobile Apps and Client Portals for Professional Services Firms

A client app gives your clients one secure place to book meetings, share documents, check progress and message your team. Apptavio builds custom iOS and Android apps for small professional services firms and shows you a free interactive concept first.

What it can include

Client portal
Each client signs in to see their own matters, cases or projects, with status and next steps in plain language.
Secure document exchange
Clients upload documents with the phone camera or from files, and download what you share, instead of emailing attachments.
Appointment booking
Book consultations, reviews or calls against your real availability, with confirmation and reminders.
Progress updates
Milestones such as 'documents received', 'draft ready' or 'submitted' so clients do not need to chase.
Deadlines and reminders
Opt-in reminders for client-side deadlines, such as sending records or signing documents.
Messaging
A focused message thread per client or matter, keeping communication out of personal inboxes.
Service information
Your services, fees information, team profiles and FAQs, presented clearly on mobile.

Who this is for

This page is for small and medium-sized professional services firms: accountants and bookkeepers, solicitors and conveyancers, financial and mortgage advisers, architects, consultancies, recruitment agencies, IT support providers and creative agencies. You deal with a manageable number of clients, often over months or years, and a lot of your time goes on chasing documents, answering "where are we?" emails and arranging meetings.

A client app is not a marketing gimmick in this context. It is a service channel: one place where clients can see progress, send what you need and book time with you. It works best where the relationship is ongoing. If your work is mostly one-off and transactional, a secure web portal or a better website might serve you better, and we will say so.

What a professional services app typically includes

A portal, not a brochure

The core is a signed-in area where each client sees only their own information: open matters or projects, their status, outstanding requests and recent messages. Language matters here. "Awaiting your bank statements for March" is useful; internal codes are not.

Documents without email attachments

Clients photograph receipts, IDs or signed pages with their phone and upload them directly to the right place. You share drafts, reports and letters back. This removes a lot of back-and-forth and keeps documents out of personal inboxes.

Booking and reminders

Clients book consultations or review meetings against your real availability, either from your calendar or from a scheduling tool with an API. Reminders reduce missed appointments, and deadline reminders — "please send your records by Friday" — reduce last-minute rushes. Notifications are opt-in, so the app should also email where something is important.

Messaging

A message thread per client or matter keeps conversations in context. It does not need to replace email or the phone; it needs to make routine questions faster.

How the free app preview works for a professional services firm

We can create a personalised, interactive concept of your client app from your existing website:

  1. Share your website address through the request form.
  2. We review your public content — services, team, locations, branding and how you describe your process.
  3. We design a concept showing a client dashboard, a document request, a booking screen and a progress view, in your branding.
  4. A person reviews it before sending.
  5. You receive a private link that opens on phone or desktop. We email you when it is ready.

The preview contains no client data and is not connected to your systems; everything in it is illustrative and simulated. It is a concept to help you and your partners decide, with no obligation.

Process and what affects cost

If you want to proceed, we agree scope and provide a written quote. Production apps are built with React Native, Expo and TypeScript, so one codebase serves iPhone and Android.

Custom apps start from €1,499 (indicative starting price). For a client portal, the main cost drivers are:

  • Authentication and access control — secure log-in, per-client permissions, possibly multi-factor authentication.
  • Document storage — where files live, retention rules and how they reach your systems.
  • Integrations — practice management, CRM, calendar or e-signature tools, each depending on its API.
  • Backend — if there is nothing to integrate with, a portal backend must be built and hosted.
  • Notifications and messaging.
  • Data protection work — documenting processing, retention and security measures with you.
  • Maintenance and security updates over time.

Honest limitations

  • You remain responsible for client data. We help design the app securely, but your firm stays the controller of client information under data protection law, and your professional and regulatory obligations still apply.
  • Integrations depend on your software vendor. Some systems do not offer usable APIs.
  • Apple and Google decide on store approval. Business apps for existing clients can also be distributed in other ways; we will discuss the options.
  • Notifications are opt-in, so important deadlines should also go by email.
  • Adoption needs encouragement. Clients use a portal when you consistently point them to it.

Frequently asked questions

Is an app secure enough for confidential client documents?

It can be, if it is designed for it: encrypted connections, proper authentication, access controlled per client, and careful choices about what is stored on the device. Security depends on the backend and systems the app connects to as well as the app itself, so we design these together and document how data is handled.

Can the app connect to our practice management software?

If your software provides an API and your licence allows its use, the app can show matters, tasks or documents from it. Many practice management systems have limited or no public APIs, so we check this first. Where integration is not possible, a separate portal backend is an option.

Do our clients really want another app?

Not always. An app works best when clients interact with you repeatedly, for example monthly bookkeeping or ongoing cases. For occasional one-off work, a secure web portal may be more practical. We will be honest about which suits your firm.

Is the free preview connected to our systems?

No. It is an interactive concept built from the public content on your website, such as your services and team, and runs in the browser. Documents, messages and bookings are simulated. It helps you picture the app before committing.

How much does a client portal app cost?

Custom apps start from €1,499 (indicative starting price). Client portals usually need accounts, secure storage and integrations, which add to the cost compared with a simple information app. You receive a written quote once the scope is clear.
