Booking App Development for Appointment-Based Businesses

A booking app lets your customers see availability, book, reschedule and get reminders from their phone. Apptavio designs and builds custom booking apps for iPhone and Android, and shows you a free interactive concept based on your website before you commit.

What it can include

Real-time availability
Customers see open slots by service, staff member or location, and pick a time that suits them without phoning.
Rescheduling and cancellation
Customers can move or cancel within the rules you set, such as a minimum notice period, which frees the slot for someone else.
Reminders and confirmations
Push notifications and emails confirm bookings and remind customers before the appointment, for customers who have opted in.
Deposits and prepayment
Optional deposits or full prepayment through a payment provider such as Stripe, to reduce no-shows for longer or high-value appointments.
Customer profiles
Saved details, booking history and notes such as preferences or allergies, so repeat booking takes a few taps.
Staff and resource rules
Service durations, buffer times, staff skills and rooms or equipment handled so double-booking is avoided.
Waiting list
Customers can join a waiting list for a full day and be notified if a slot opens up.
Repeat and recurring bookings
Book the same service again in one tap, or set up a recurring appointment where that suits your business.

What a booking app does for your business

If your business runs on appointments, your diary is your revenue. A booking app puts that diary in your customers' pockets: they can see when you are free, book in a few taps, move an appointment when plans change and get a reminder the day before. You spend less time on the phone and in your inbox, and regular customers find it easier to come back.

Apptavio designs and builds custom booking apps for iPhone and Android. Each app is made for one business — your services, your branding, your rules — rather than being a listing inside a marketplace alongside your competitors.

Who a booking app is right for

A dedicated booking app tends to pay off when:

  • Customers book with you repeatedly — every few weeks or months, such as groomers, salons, barbers, physiotherapists, personal trainers or garages.
  • You have several services, staff or locations, so the booking logic is more than "pick a time".
  • No-shows and late cancellations cost you money, and deposits or clear cancellation rules would help.
  • You want a direct channel to customers who have chosen to hear from you, rather than relying only on social media or third-party platforms.

If most of your customers book once and never return, a fast mobile website with online booking may serve you better. We will say so honestly.

Features we commonly build

Every booking app is different, but most combine some of the following:

For your customers

  • Browse services with descriptions, durations and prices.
  • Choose a staff member or "anyone available".
  • See live availability and book, reschedule or cancel within your rules.
  • Pay a deposit or the full amount in advance, if you want that.
  • Receive confirmations and reminders by push notification (with their permission) and email.
  • Keep a profile with saved details, booking history and notes such as preferences.
  • Rebook a previous appointment in one tap.
  • Join a waiting list when a day is full.

For your team

  • Rules for service durations, buffer times and opening hours.
  • Staff skills, so only qualified people are offered for each service.
  • Rooms or equipment that can only be used once at a time.
  • A simple view of upcoming appointments and customer notes.
  • Optional loyalty stamps or rewards linked to completed bookings.

Your own back end or an integration?

There are two main ways to build a booking app:

  1. Integrate with the booking system you already use. Your staff keep working the way they do today, and the app reads availability and creates bookings through the system's API. This only works if your provider offers a suitable API and your plan includes access. Some providers restrict third-party apps or limit what can be done through the API, so we check this before quoting.
  2. Build a dedicated booking back end. If you do not have a system, or yours cannot be integrated, we build the scheduling logic and a simple management area. This costs more at the start but gives you full control over rules and data.

We explain the trade-offs for your situation in plain terms. Integrations are covered in more detail on our API integration page.

See your booking app before you buy

Instead of asking you to imagine the result, we can create a free, personalised, interactive concept of your booking app from your existing website. It uses your business name, branding and the services listed on your site, and you can open it in a browser on your phone or computer and tap through screens such as service selection, choosing a time and your customer profile.

It is a concept, not a finished app: bookings in the preview are simulated and nothing is sent to your diary. Every concept is reviewed by a person before it reaches you, and there is no obligation. We email you a private link when it is ready.

How the project works

  1. Free preview — you share your website and we prepare an interactive concept.
  2. Scope call — we discuss what you liked, what to change, your current booking system and any integration questions.
  3. Written quote — a clear list of screens, features and integrations, with a price and an estimated timeline.
  4. Design and build — we build in React Native with Expo and TypeScript, so one codebase serves both iPhone and Android, and share test versions as we go.
  5. Store submission — we prepare and submit the app to the App Store and Google Play under your developer accounts. Approval is decided by Apple and Google, so we cannot guarantee it, but we follow their guidelines closely.
  6. Launch and maintenance — updates, fixes and improvements after launch, if you want ongoing support.

What affects the cost

Custom apps start from €1,499 (indicative starting price). For booking apps, the main cost drivers are:

  • Number of screens and user journeys — a single-location, single-service flow is far simpler than multi-staff, multi-location booking.
  • Integration or own back end — integrating with a well-documented API is usually quicker than building scheduling from scratch; poorly documented or restricted APIs take longer.
  • Accounts and authentication — guest booking versus full customer accounts.
  • Payments — deposits, prepayment, refunds and cancellation fees.
  • Notifications — push and email reminders, and the rules behind them.
  • Staff features — a management area or staff app adds scope.
  • Maintenance — operating systems and store requirements change, so apps need regular updates.

We quote after we agree the scope; nothing on this page is a binding estimate.

Honest limitations

  • App Store and Google Play approval is Apple's and Google's decision. We build to their published guidelines, and we design apps that offer genuine in-app functionality rather than simply repackaging your website.
  • Push notifications need opt-in. iPhone users must allow notifications, and Android 13 and later also asks for permission, so not every customer will receive push reminders.
  • Integrations depend on your provider. If your booking software has no usable API, we will tell you before you spend money.
  • An app needs promoting. Customers have to download it, so think about how you will mention it in your shop, emails and website.

Frequently asked questions

Can a booking app connect to the booking system I already use?

Often, yes, if your current system offers an API that allows third-party apps to read availability and create bookings. Some systems do not, or only on certain plans. We check this early, before you commit to development, and suggest alternatives if an integration is not possible.

Will reminders reduce no-shows?

Reminders help customers remember appointments, but we cannot promise a specific reduction. Push notifications also only reach customers who have allowed them, so we usually combine push with email reminders.

Can customers pay a deposit in the app?

Yes. Deposits and payments for in-person services are normally taken through a payment provider such as Stripe. In-app purchase rules from Apple and Google generally apply to digital goods and subscriptions used inside the app, not to real-world services, but we review the current store rules for your exact case.

Do I need an app if my website already has online booking?

Not always. An app makes most sense when customers book with you regularly, because it keeps their details, history and rebooking one tap away and lets you send reminders. If most customers book once a year, a good mobile website may be enough, and we will tell you so.

How much does a booking app cost?

Custom apps start from €1,499 (indicative starting price). The final price depends on the number of screens, whether we build our own booking back end or integrate with yours, payments, notifications, staff features and ongoing maintenance. You get a written quote after we agree the scope.
